ISO 9001 on a Budget: Systems and Software

When it comes to implementing an ISO 9001 quality management system (QMS), small businesses often believe that expensive software or complex systems are necessary. However, the reality is much more encouraging: an effective QMS can be documented, established, maintained, and improved with basic, cost-effective tools, most of which you probably already use today.
ISO 9001:2015 describes the requirements of a conforming QMS, but does not generally prescribe specific tools or methods. The focus is on what, not how. This allows small businesses the flexibility to tailor their QMS to their unique business needs and available resources.

Simple tools like spreadsheets or even well-structured paper-based systems can be incredibly effective for controlling processes, creating documentation, and analyzing data at low cost.
The key is not the sophistication or complexity of the tool, but how it's used.
We have seen a one-person aerospace machine shop whose "MRP system" was handwritten job details and production and inspection operations on a physical drawing, and then recording the results on the same piece of paper. When the product shipped, the paper went into a protective box labeled with the current year. Simple and, yes, certified to ISO 9001 and AS9100.
A father and son import/export operation uses QuickBooks, a couple of simple Excel spreadsheets, and two hardcopy forms to operate the core of their ISO 9001 certified QMS. It works well for them and demonstrates the effectiveness of their straightforward operations.

As your business grows, you may find value in more advanced software solutions that offer additional features, innovations, and automation. But remember, these are only tools to enhance your ISO 9001 QMS. If not implemented well, they could actually decrease its effectiveness.
